NXAI is an Austrian AI research company located in Linz, where advanced research is transformed into real-world impact. Our focus is on next-generation xLSTM models and their industrial applications. Together with a strong network of partners, we are creating a leading center for AI innovation in Linz. We're always excited to meet forward-thinking minds eager to shape the future of AI and are looking for a structured and dependable Operations Associate (f/m/d) to support our leadership team.
This entry-level role combines executive support, office management and project coordination. It is designed as a high-performing position with clear operational responsibilities in the daily work of a growing AI company.
Your responsibilities
Orchestrate and manage all administrative and organizational workflows to ensure the leadership team's operational excellence.
Manage office operations, scheduling, correspondence and documentation.
Support accounting and controlling, including:
Preparing and organizing receipts and invoices for bookkeeping.
Coordinating and executing payments.
Supporting reporting and related financial documentation.
Assisting with budget tracking and expense reports.
Coordinate tasks within grant-funded projects, including reporting, deadlines, and partner communication.
Plan and organize internal and external events (workshops, community meetups, partner visits).
Manage community relations, including communication with external networks, industry partners and academic collaborators.
Job requirements
What you bring to the table
University degree (Bachelor or Master) in Business Administration, Economics, or a related field.
Strong organizational skills with attention to detail and ability to prioritize effectively.
Excellent written and verbal communication skills in German and English.
Proficiency in productivity tools (Google Workspace, MS Office, project management tools).
Structured, reliable and proactive working style.
Interest in research and technology environments.

A market-aligned salary package tailored to your experience, plus individual benefits. Starting salary is €3,175 gross per month. Depending on your profile and your development potential within the team, a significant overpayment is of course possible. The salary is paid 14 times per year.
